Halftime Sports (UEN 53520400X) (“Halftime”, “we”, “our” or “us”) provides recreational sports leagues and related products, apparel, services, content and features (the “Services”) through our website (https://halftime-sports.com) (the “Site”) to you. We respect your privacy and are committed to protecting your personal data in accordance with the Personal Data Protection Act 2012 of Singapore (“PDPA”).

This Privacy Policy explains how we collect, use, disclose, protect and otherwise process your personal data when you use any of our Services. It applies to participants, their emergency contacts, and any other individual whose personal data we handle in connection with our Services.

By registering for or using our Services, or by providing personal data to us, you acknowledge that you have read and understood this Privacy Policy and consent to the collection, use and disclosure of your personal data in the manner described herein. If you do not agree to and accept this Privacy Policy, please do not provide your personal data to us and cease the access and/or use of the Site and our Services immediately.

1. Personal data

“Personal data” means: data, whether true or not, about an individual who can be identified from that data, or from that data and other information to which we have or are likely to have access. Examples relevant to our Services include your name, date of birth, contact number and email address.

2. Collection of personal data

We may collect the following categories of personal data from you when you access or use our Services:-

(a) Identity and profile information: your name and date of birth;

(b) Contact information: your contact (mobile/telephone) number and email address;

(d) Registration and participation information: the league, event or programme you sign up for, your team or booking details, and your attendance and participation records;

(e) Payment information: when you pay for our Services, payment is processed by our third-party payment processor, HitPay. Your card or payment details are collected and processed directly by HitPay in accordance with their own privacy policy and applicable payment-security standards. We do not store your full card details; we may retain limited transaction records (such as the date, amount and a payment reference) for our accounting and record-keeping;

(f) Communications and preferences: enquiries, feedback and correspondence you send us, and your marketing subscription preferences;

(g) Website and technical data: when you visit our website, we may automatically collect technical data such as your IP address, browser type, device information and usage data through cookies and similar technologies.

We may collect personal data:-

(a) directly from you when you create an account, register for a league or event, make a booking or payment, complete a form, or contact us by phone, email, social media or in person;

(b) from you when you provide the details of a third party, such as your nominated emergency contact;

(c) from third parties acting on your behalf or with your authorisation (for example, a team captain registering you as part of a team);

(d) from our payment processor, HitPay, in the form of transaction confirmations and limited payment records; and

(e) automatically through our website via cookies and similar technologies.

3. Purposes for collection, use and disclosure of personal data

We generally do not collect your personal data unless (a) it is provided to us voluntarily by you directly or via a third party who has been duly authorised by you to disclose your personal data to us (your “authorised representative”) after (i) you (or your authorised representative) have been notified of the purposes for which the data is collected, and (ii) you (or your authorised representative) have provided written consent to the collection and usage of your personal data for those purposes, or (b) collection and use of personal data without consent is permitted or required by the PDPA or other laws. We shall seek your consent before collecting any additional personal data and before using your personal data for a purpose which has not been notified to you (except where permitted or authorised by law).

We may collect, use and disclose your personal data for any or all of the following purposes:-

(a) performing obligations in the course of or in connection with our provision of our Services requested by you, including disclosure to third party service providers, agents and other organisations we have engaged to perform any of our obligations or functions;

(b) verifying your identity and eligibility, including confirming your age;

(c) communicating with you about schedules, fixtures, venues, results, changes, cancellations and other operational matters;

(d) processing bookings, payments and refunds, and maintaining participation and attendance records;

(e) contacting your emergency contact in the event of an accident, injury, medical emergency or other incident during our Services;

(f) ensuring the safety and wellbeing of participants and responding to incidents, accidents and emergencies;

(g) responding to your enquiries, requests, feedback and complaints;

(h) maintaining our records and managing our day-to-day operations, including accounting, audit and insurance purposes;

(i) sending you marketing and promotional communications about our leagues, events and offerings;

(j) complying with applicable laws, regulations, guidelines and requests from public authorities, and protecting our rights and interests.

4. Withdrawal of consent

Your consent to the collection, use and disclosure of your personal data will remain valid until such time it is being withdrawn by you in writing. You may withdraw consent and request us to stop collecting, using and/or disclosing your personal data for any or all of the purposes listed above by submitting your request in writing or via email to our Data Protection Officer at the contact details provided below.

Upon receipt of your written request to withdraw your consent, we may require reasonable time (depending on the complexity of the request and its impact on our relationship with you) for your request to be processed and for us to notify you of the consequences of us acceding to the same, including any legal consequences which may affect your rights and liabilities to us. In general, we shall seek to process your request within twenty-one (21) business days of receiving it.

Whilst we respect your decision to withdraw your consent, please note that depending on the nature and scope of your request, we may not be in a position to continue providing some or all of our Services to you.

Please note that withdrawing consent does not affect our right to continue to collect, use and disclose personal data where such collection, use and disclosure without consent is permitted or required under applicable laws.

5. Emergency contact information

As part of registration, we ask you to provide the name and contact number of an emergency contact so that we can reach a designated person on your behalf in the event of an accident, injury, medical emergency or other incident during our Services.

Where you provide us with the personal data of another individual (such as your emergency contact), you confirm that you have informed that individual of, and obtained their consent to, the collection, use and disclosure of their personal data by us for the purposes set out in this Privacy Policy. We will use an emergency contact’s personal data solely for emergency and safety-related purposes.

6. Transfer of personal data outside Singapore

Some of our service providers (such as our payment processor, website hosting, communications and analytics providers) may store or process personal data on servers located outside Singapore. Where we transfer personal data outside Singapore, we will take appropriate steps to ensure that the receiving party is bound by legally enforceable obligations to provide a standard of protection at least comparable to that under the PDPA.

7. Protection of personal data

We make reasonable security arrangements to protect personal data in our possession or under our control from unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks. These arrangements may include restricting access to personal data to authorised personnel on a need-to-know basis, the use of secured systems and access controls, and staff confidentiality obligations.

However, no method of transmission or storage is completely secure. While we strive to protect the security of your information and are constantly reviewing and enhancing our information security measures, we cannot guarantee its absolute security, and any transmission of data is at your own risk.

8. Retention of personal data

We may retain your personal data for as long as it is necessary to fulfil the purpose for which it was collected, or as required or permitted by applicable laws.

We will cease to retain your personal data, or remove the means by which the data can be associated with you, as soon as it is reasonable to assume that such retention no longer serves the purpose for which the personal data was collected, and is no longer necessary for legal or business purposes.

9. Marketing communications

We may send you marketing and promotional communications about our leagues, events, programmes and offerings by email and other channels.

You may opt out of marketing communications at any time, at no cost, by clicking the unsubscribe link in our emails, or writing to us directly. We may still send you non-marketing, service-related communications (such as fixture or venue updates) that are necessary to provide our Services as requested by you.

10. Cookies and analytics

Our website may use cookies and similar technologies to enable core functionality, improve user experience, analyse website traffic and usage, and support marketing activities. If you wish to make (a) an access request for access to a copy of the personal data which we hold about you or information about the ways in which we use or disclose your personal data, or (b) a correction request to correct or update any of your personal data which we hold about you, you may submit your request in writing or via email to our Data Protection Officer at the contact details provided below.

Please note that a reasonable fee may be charged for an access request. If so, we will inform you of the fee before processing your request.

We will respond to your request as soon as reasonably possible. In general, our response will be within twenty-one (21) business days. If we are unable to provide you with any personal data or to make a correction requested by you, we shall generally inform you of the reasons why we are unable to do so (except where we are not required to do so under the PDPA).
